Our Business Development team in Italy plays a key role in supporting WSP’s growth by coordinating tenders, supplier qualifications and proposal documentation across multiple business areas. As tender and procurement activity continues to increase, we are looking for a structured and detail-oriented Proposal Coordinator to help manage tender processes accurately, efficiently and in line with requirements.

The opportunity

We are looking for a Proposal Coordinator to join our Business Development team in Italy. In this role, you will support the full tender lifecycle, from analyzing opportunities and preparing documentation to coordinating internal inputs, submitting offers through procurement portals and supporting post-award activities.

You will work closely with colleagues in Business Development, technical teams, Commercial, Legal and GRC, helping ensure submissions are complete, compliant and delivered on time. The role offers exposure to different parts of the business and requires someone who enjoys combining precision, organization and proactive stakeholder management.

How you will make an impact

Your work will help WSP respond to tender opportunities efficiently, meet strict deadlines, monitor progress and maintain high-quality documentation throughout the proposal lifecycle.

· Tender analysis and planning: Review tender documentation, identify administrative and regulatory requirements, clarify deadlines and monitor progress for each submission.

· Proposal documentation: Prepare and coordinate administrative declarations, company information, certificates, bid justification materials and other documents required for tender submissions.

· Stakeholder coordination: Collect inputs from commercial, technical, legal, GRC and administrative colleagues, support offer drafting with the Commercial team and follow up professionally to keep submissions on track.

· Portal management and submissions: Upload documentation and submit proposals through procurement portals and online tender platforms, ensuring completeness, accuracy and respect of deadlines.

· Process quality and organization: Maintain clear archives, reusable documentation and organized records, contributing to a smoother, more predictable and efficient tender process.

You will be part of the Business Development and Tender Office team in Italy, working with colleagues who coordinate bids, supplier qualifications and proposal documentation across different sectors and internal stakeholders.

What you will bring to the role

We focus on the essential qualifications, skills and experience needed for success, while welcoming different technical backgrounds and career paths.

· A background in law, administration, business, economics or a related field, or equivalent practical experience in tender, proposal or bid coordination.

· At least 2 years of experience in public or private tenders, tender office activities, proposal coordination, bid management or similar administrative proposal processes.

· Strong ability to read tender documentation, identify administrative and regulatory requirements, manage document checklists and work with strict submission deadlines.

· Professional fluency in Italian and English is a must.

· Excellent organization, precision, attention to detail and the confidence to coordinate several internal stakeholders while keeping a professional and solution-oriented approach.

Compensation and benefits

WSP is committed to pay transparency. The annual gross salary range for this position is €25,000 - €30,000. The final offer will be determined based on the successful candidate’s experience, qualifications and relevant expertise.
